Moderators

Dear moderators of the sessions at "Reinventing the City".

First, thank you very much for helping us in managing the session(s). Your help is invaluable to make this a successful conference. Each Special session or Workshop has a moderator. Each session with oral presentations has a moderator called chair. As a moderator, you will be assigned with different options/tasks on the platform. As a session holder, make sure the right people are assigned as moderators.

Most of what you can do in Dryfta is quite intuitive, but we would like to explain how you will moderate and chair the sessions:

1. General Responsibilities of a Moderator / Session Chair

  • Coordinate, moderate, organise and manage the session, including Q&A.
  • Introduce the session, and then each author/paper-title before their presentation.
  • Take chat questions during the Q&A, moderate the discussion, and announce who is next to speak based on participants who "raise hands".
  • Read the questions and comments to the presenting author during the Q&A portion.
  • Ensure that the timing of presentations is strictly adhered to. It should not exceed the allocated time.
  • Sessions are open for moderators and speakers 25 min before the start of a session, participant can enter a session 5 min before the start of a session.

2. Detailed Guide for Session Chairs

How to join the session as Moderator / Session Chair

*All registered participants (presenters and regular attendees) will receive an email reminder containing the links to access all meetings the day before the scheduled events and on the day itself. Similarly, these links will be available on each session in the Detailed Programme.

  1. Be online and arrive 10-15 minutes before your session.
  2. There are two ways to join a session, and you may choose whatever is most convenient for you:
  • If you already know which session/s you are chairing or moderating, you may simply click on the appropriate link in the email you will receive the day before the scheduled event and on the day itself.
  • In case you don't remember which sessions you are chairing or moderating, you may find it on the Detailed Programme.

You must first log in to your account on the Congress website and find the session you are moderating at the 'My Schedule' or 'Sessions I am speaking at' tabs on your Dashboard. When you click on the session, it will redirect you to that session in the detailed congress programme. The session displays the countdown and, fifteen minutes before the session begins, it shows the 'Join on Zoom' button.

  • The sessions are only available 5 minutes before the session starts; Please be online in time!
  • In the program, you can find a button next to the session that says: Check-in (), use it to check in into the session. When entering the session, click the button "Watch Live" ().

Q&A and chat

  • In each session of which you are the moderator, you will be responsible to start what is called the Q&A, which is the chat box in the session.
  • You will also have an option to start a live Q&A  () which is like a virtual meeting tool embedded in the Dryfta system. Some people (including you) may have a problem with using this if the browser or the computer are not compatible. If you can start it, use it, and be sure to say in the chat that you are there.
  • When you enter in your session we advise you to start watching the first presentation as the session starts and leaving a message in the chat saying "Please watch the first presentation", you can also say the name of the presentation and the authors. Once that is over (you have fully watched the presentation) you can ask in the chat if there are questions for the authors so that a dialogue is established. If you have been able to enter the Live Q&A, ask the other people to join yo there. If someone is not able to, tell them to ask in the chat and that the authors will answer to them there.
  • Try to have a question for each presentation.
  • You will do this until it's time to start the viewing of the next presentation, after which you announce the next presenter.
  • Once the time is over, you say goodbye to all the participants. The chat stays active there.
  • Each session has a moderator who will be responsible to start the Q&A after watching each presentation within the designated time slot. This will be done in the chat, but there is a live Q&A option  that if most people can use in their browsers, then it's preferable because it is a video/audio chat tool embedded in the Dryfta system.
